Reviews reversed: ask, filter, and reply every day
AI-assisted drafts from your SOP, with your approval before anything posts.
An agency service from Xeal Publishing LLC. We do not just help you get more Google reviews. We reply to every single one, in your voice, on the same day.
The Problem You Are Actually Having
You know reviews matter. Everyone tells you that. You installed a QR code at the counter. You ask customers "if you liked us, please leave us a review." Maybe you send a text after the appointment.
And every quarter, your review count barely moves. The ones you do get sit unanswered for weeks. Some of them are 1-star complaints about a customer you barely remember, and you never wrote back because you did not know what to say, or because you were afraid of saying the wrong thing.
Meanwhile the shop across town has 400 reviews to your 47, replies to every single one within 24 hours, and shows up above you in the Google map pack every time.
The problem is not that you do not know reviews matter. The problem is nobody is running the system.
Why Reviews Actually Matter, With the Numbers
We already wrote the deep dive in our Google Reviews article. Here are the numbers that matter for local reputation:
- 97 percent of consumers read reviews of a local business before visiting (Capital One Shopping)
- 71 percent of shoppers begin their consumer research on Google reviews (Capital One Shopping)
- Consumers read an average of 10 online reviews before they will trust a business (Capital One Shopping)
- A one-star rating boost can increase revenue by 5 to 9 percent (Shapo)
- 58 percent of consumers are willing to pay more for a business with strong reviews (SQ Magazine)
- 89 percent of customers read business responses to reviews, and failing to reply can lift churn by 15 percent (Textedly)
- Businesses responding to 75 percent or more of reviews rank 2.3 positions higher in the local pack on average (Flen)
- Responding within 24 hours correlates with an additional 1.6 position lift compared to responding after a week (Flen)
- 56 percent of consumers actively prefer businesses that respond to reviews (Shapo)
Two things drive the ranking lift. First, review volume and velocity. Second, response rate and response speed. Most local businesses lose on both.

The 3 Systems Nobody Runs Consistently
Ask. Every happy customer. Right after the moment of satisfaction. Through the channel they actually use. Not a business card. Not a "how was your visit?" postcard. A text or email with a one-tap link, sent within the hour.
Filter. Give unhappy customers a private path to complain to you before they leave a public 1-star. Give happy customers a public path to praise you.
Reply. Every review. Positive and negative. Same day. In your voice. Built from a standard operating procedure your team would follow, then drafted with AI assistance so wording stays consistent, includes the right service keywords, shows genuine appreciation, and invites return visits or referrals, without sounding copy-pasted.
Three simple systems. Most local businesses run zero of them. The ones who run one run it inconsistently. Almost nobody runs all three.
We run all three for you, with you still in control of what goes public.
How reply automation actually works
Replies are AI-assisted, SOP-driven, and approval-gated. That is not a trick. It is how you free your time without giving up control.
- Standard operating procedure first. We codify how you want to respond: tone, what to thank people for, how to handle complaints, what never to say, and how to mention the product or service naturally.
- AI crafts the draft. Each review gets a recommended reply that follows the SOP, varies sentence patterns so replies do not look robotic, and still sounds like you.
- You approve before it posts. Every recommended reply is sent to you for review. If you are busy, approve and move on. If you want it more personal, edit or rewrite. Nothing goes live without that gate unless you later choose a faster supervised mode in writing.
- Genuine, not fake. We are not inventing experiences or buying reviews. We automate the reply you would write anyway so customers get acknowledged quickly and you stay focused on the next job.
When you have time, you can make a reply exceptionally personal. When you do not, the customer still gets a thoughtful response, which is what you want either way.
Our Review Service
Three tiers as a fully managed agency engagement from Xeal. All three include the same core discipline: ask every customer, filter the sentiment, and reply to every review the same day with SOP-based AI drafts you can approve.
Tier 1, The Reply System
For local businesses that want their existing reviews replied to and a steady drip of new ones coming in.
Best for solo operators, dentists, law firms, contractors, home services, med spas, chiropractors, salons, churches, nonprofits, coaches, and small teams. If you have fewer than 200 reviews and get fewer than 20 new ones a month, this is your tier.
What We Do
- Google Business Profile audit and optimization. Categories, services, hours, service area, Q&A, photo cadence, posts, and every field Google offers. Most businesses have 6 to 12 fields empty or wrong.
- Reply to every existing unanswered review within 30 days of onboarding. Positive, negative, mid, and the awkward one from 2019. Each gets an SOP-based AI draft in your voice, sent to you for approval before posting.
- Reply to every new review same day. Positive within 4 hours during business hours, negative within 2 hours. AI drafts follow your voice guide and SOP; you review and approve before anything posts publicly.
- Ask every customer for a review, automatically. Your CRM triggers a review request text and email at the right moment (after appointment, after invoice paid, after service call closed). We integrate with your existing systems, or you can use ours.
- The private-first funnel. Every review request asks "how was your experience?" first. Happy customers get routed to Google. Unhappy customers get routed to a private feedback form that alerts you directly, so you can fix the problem before it becomes a public 1-star.
- Weekly review volume and rating dashboard, one page, plain English, showing new reviews, response rate, response time, current star average, and rank position in your local pack.
- Monthly report with review growth, sentiment analysis, competitor comparison, and next-month recommendations.
The Private-First Funnel, Explained
Every request goes out with a short question: "How was your experience today?" One tap.
- 4 or 5 stars. Auto-directed to your Google Business Profile with a one-tap review link. Copy is pre-filled with a helpful nudge, not a template.
- 1 to 3 stars. Auto-directed to a private feedback form that texts and emails you immediately. You get the chance to make it right before the customer thinks to post publicly.
This is not deceptive. It is not gating. Google's policy is clear: you cannot condition asking on the review being positive, and you cannot suppress negative reviews. The private-first funnel does neither. Any customer can still leave a public review at any time. We are simply giving unhappy customers a real alternative that most businesses fail to offer.
Tier 2, The Reply System Plus Multi-Location or Multi-Platform
For local businesses running multiple locations, multiple brands, or reputation on more than just Google.
Best for franchisees, multi-location professional services, real estate teams, hospitality groups, and any business whose reputation lives on Google, Yelp, Facebook, industry directories (Healthgrades, Avvo, Zillow, Angi, HomeAdvisor, Houzz), or all of the above.
Everything in Tier 1, plus:
- Multi-location reply system. One dashboard, one team, consistent voice across every location. Each location gets its own review page monitoring, its own reply calendar, and its own monthly report. Your regional or corporate view rolls it all up.
- Multi-platform reply system. We monitor and reply on Google, Yelp, Facebook, and up to two industry-specific platforms (Healthgrades and Vitals for medical, Avvo and Martindale for legal, Zillow and Realtor.com for real estate, Angi and HomeAdvisor for home services, TripAdvisor for hospitality, Houzz for design and build).
- Cross-platform review request routing. We route the ask to the platform that helps the business most. If your Yelp is thin, we bias new requests there. If Healthgrades is where new patients search, we bias there. This is where most agencies stop asking and just push everyone to Google. We do not.
- Review recovery outreach. For the 1 and 2-star reviews that come in through your private feedback funnel, we handle the recovery outreach on your behalf. Personalized reply, offer to make it right, escalation to you when the customer wants to talk to the owner. Roughly 30 to 50 percent of unhappy customers who get a fast, thoughtful reply either update their review or delete the negative one.
- Video review capture. Optional add-on where satisfied customers can record a 30 to 60 second video testimonial from their phone, hosted on your site with schema, syndicated to your social channels and Google Business Profile.
- Bi-weekly strategy call, 30 minutes to review sentiment trends, competitor moves, and voice adjustments.
Tier 3, The Reply System Plus AI-Assisted Scale
For local businesses that generate meaningful review volume and want AI-assisted replies with human review, plus deep sentiment intelligence feeding the rest of the business.
Best for high-volume operators, multi-location groups with 5 or more locations, medical practice groups, franchise systems, and businesses whose Google review volume already exceeds 50 per month per location.
Everything in Tier 2, plus:
- Higher-volume drafting and intelligence. The same approval-gated AI drafting at scale, plus deeper sentiment tagging, alerts, and content opportunities pulled from review themes.
- Voice fingerprinting. We build a formal voice guide from your existing owner-written responses, your website copy, your marketing, and (optionally) interviews with the owner. Every reply is measured against the guide for consistency.
- Sentiment intelligence dashboard. Every review, negative and positive, tagged for topic (staff, wait time, pricing, cleanliness, quality of service, follow-up, whatever categories fit your business). You see monthly and quarterly what customers actually praise, and what they actually complain about, with the exact review quotes behind every data point. This is the intelligence layer your competitors do not have.
- Automated internal alerting. When 3 customers in a week mention the same problem (long wait, specific staff member, product defect), we alert you. This is how you catch operational issues before they become a 1-star trend.
- Employee shoutouts, automated. Every time a customer mentions a staff member by name in a review, the employee gets recognition on the same day, plus a monthly leaderboard. This is your "Pro Tip" from the Xeal article, systematized.
- Review-driven content generation. Recurring themes from your reviews become blog posts, service page updates, and social media content. Positive quotes become on-site testimonials with review schema. This connects reviews back to your website's SEO and GEO stack.
- Weekly strategy call, 30 minutes with a senior operator to review sentiment, competitor benchmarks, and content opportunities.
- Direct Slack or SMS channel for urgent reputation issues, response within 2 business hours.
Our Commitment
If you are not seeing measurable growth in review volume, response rate, and star average within 90 days, we keep working on it until you do. We give you the underlying dashboard so you can verify the numbers yourself. No creative accounting, no dashboards you cannot audit.

FAQ
Do you write the replies, or does software?
Both, on purpose. We use a written SOP plus AI assistance to draft each reply in your voice, then we send the recommended reply to you for approval before it posts. You can edit, rewrite, or approve as-is. That keeps quality high without forcing you to type every response from scratch.
How do you make the replies sound like me, not a bot?
We build a voice guide and SOP from your existing responses, site copy, and preferences. Drafts mention the service or product naturally, express real appreciation, vary phrasing so they do not look templated, and invite repeat business or referrals when appropriate. You still see every draft, so you can make any reply more personal whenever you want.
Am I giving up control if this is automated?
No. Automation drafts and routes. You decide what goes public. If you do not have time to craft a custom note, approving a strong SOP-based draft still means the customer gets a reply, which is the outcome you want either way.
What about the "please check with the owner" replies? I need to know when a customer is really upset.
Every negative review triggers a direct alert to you within 15 minutes of it being posted, before we reply. You get the option to draft the reply yourself, direct us to a specific angle, or let us handle it. Most owners hand it off entirely within 60 days.
Is the private-first funnel legal? Doesn't Google prohibit gating reviews?
Google prohibits review gating (only asking happy customers to leave public reviews). What we do is different: we ask every customer, and we give unhappy customers a private path to complain to you as an alternative, not as a block. They can still leave a public review any time. This is compliant with Google's guidelines and is exactly how the largest, most sophisticated reputation programs operate.
What if I get a fake or defamatory review?
We handle Google's dispute process for you. Legitimate policy violations (fake reviews, wrong business, personal attacks, off-topic complaints) can be removed. We document the case, submit the takedown, and follow up. Success rate on legitimate violations is roughly 40 to 60 percent, with removal typically taking 3 to 14 days.
Do you buy fake reviews?
No. Never. We would never risk your business for a stunt like that. Google, Yelp, and every other platform aggressively hunt for fake reviews, and getting caught means suspension or delisting. Our whole system is built on generating real reviews from your real happy customers, at scale, on a schedule. That is where the compounding value comes from.
Can I keep answering some reviews myself?
Absolutely. Many owners write replies for the reviews that matter most to them (a longtime client, a difficult recovery, a personal thank-you). We handle everything else and hand back the ones you want to write. You always have the option, and we always defer to you.
How does this integrate with my CRM?
We use managed automation as the review request engine. If you already use a CRM (HubSpot, Salesforce, Jobber, Housecall Pro, Dentrix, etc.), we integrate the review triggers into your existing workflow via API, webhook, or Zapier. You do not need to change platforms.
How is this different from Podium, Birdeye, or NiceJob?
Those are software. They give you a dashboard and expect you to write the replies. We are the agency service that runs the system for you: SOP design, AI-assisted drafting, approval workflow, request automation, and ongoing tuning. The software is only part of the value.
What if I don't get many reviews to begin with?
We fix that first. Setup includes a review request going to the last 90 days of your customer list (if we can get contact records), plus the ongoing trigger for every new customer. Most Tier 1 clients see review volume increase 3x to 5x within the first 60 days from that combination alone.
What happens if I cancel?
You keep your Google Business Profile, your review history, and everything we set up. We hand off the voice guide, the response archive, and any automation running in your own systems. The review request system stops when we do.
